Safety

At Vibe Out Event Rentals we prioritize safety over everything else.  This includes our employees and more importantly our customers and their guests. Safety is a shared responsibility between our team, you as the customer, and your guests, and everyone plays an important role in keeping the event safe. 

If you notice anything unsafe or damaged, stop use immediately and contact us.

Tent Safety

Underground Utility Marking (Call 811) 

Safety starts before we arrive. By law, underground utility lines must be marked. We require JULIE (811) to be notified at least 48 hours before installation to flag public gas, electric, and water lines.

Private Line Identification

Please note that 811 does not mark private lines. It is the homeowner’s responsibility to identify and clearly mark the location of private sprinkler systems, invisible dog fences, or outdoor lighting wires to avoid damage during staking.

Staking Depth & Clearance

Our tents are anchored using heavy-duty stakes driven approximately 36 to 42 inches into the ground. Ensure the designated setup area is free of any shallow obstructions.

Overhead Obstructions

When choosing your location, look up! We require a minimum of 20 feet of vertical clearance from power lines, low-hanging tree branches, or building overhangs to safely raise the tent canopy.

Severe Weather Protocol

While our tents provide excellent shade and rain protection, they are temporary structures. In the event of lightning, high winds exceeding 35 mph, or severe weather warnings, the tent should be evacuated immediately.

No Cooking Under Tents

To prevent fire hazards and permanent fabric damage from grease or smoke, cooking with grills, deep fryers, or open flames is strictly prohibited underneath or within 20 feet of the tent canopy.

Heater Safety

If you are using tent heaters, they must be placed at a safe distance from the tent sidewalls and drapes. Never leave heaters unattended, and ensure they are placed on a level, non-combustible surface.

Decorative Weight Limits

We love a good vibe! However, Excess weight can compromise the tension and structural integrity of the tent. Please do not any items on the tent without prior approval.

Surface Requirements

The setup area must be relatively level and clear of debris. If the ground is excessively soft, steep or prone to flooding, we may need to adjust the installation plan to ensure the anchors hold firmly.

Post-Installation Integrity

Once our team has staked and tensioned the tent, please do not move or loosen any stakes, ratchet straps, ropes, Tent Ballast Weights (Concrete Blocks or Water Barrels). If a strap appears loose due to wind, contact us immediately for a professional adjustment.

Professional Strike & Teardown

To maintain the safety of the site, please do not attempt to (or) disassemble or move any major equipment (tents, dance floors, or lighting rigs) yourself. Our team is trained to strike the equipment safely to avoid injury and ensure the structural components aren't compromised for the next client.
